Renewing a Document

Overview

Document renewal helps you keep evidence up to date. Documents by default are set to renew annually, one year after the effective date of the oldest artifact in the document. When renewal is due, you update evidence artifacts and publish a new version.

When to Use

  • A document is due for renewal (shown in the document details).

  • You need to update evidence to reflect current compliance status.

  • You want to maintain an annual review cycle for evidence.

How Renewal Works

  • Documents by default Renew annually (shown in the document detail page).

  • When renewal is due, update evidence artifacts in the draft section.

  • You can also renew at any time, ahead of schedule.

  • Add new evidence, update existing artifacts, or remove obsolete evidence as needed.

  • Publish the document to create a new version for the renewal period.

Note: Renewal dates update automatically each time the document is published, based on the effective date of the oldest artifact in the document. Renewal helps you keep evidence up to date and maintain an annual review cycle.

Creating a New Version

To create a new version of a published document:

  1. Navigate to the document's Evidence tab.

  2. If the document is already published, click Create new version in the published version card.

  3. In the confirmation modal, there is an option to copy published artifacts into new draft. Deselect this if you wish to start with an empty draft. Click Create draft to confirm.

  4. Add, edit, or remove evidence artifacts as needed.

  5. Publish the document when ready to create the new published version.

Important: Creating a new version preserves the previous published version in version history.
